Our House Rules

At the Golfin' Dolphin, we have three house rules:

  1. Relax.
  2. Have Fun.
  3. Return again next year!

However, Carolina Designs, our rental management company, has a few more guidelines to follow when making your reservation and enjoying your stay. They are listed below for your convenience.

RESERVATIONS

Reservations can be made on the Internet 24 hours a day; by mail, telephone, or in person seven days a week from 9:00 a.m. to 5:00 p.m. All published prices are for seven day rentals. One half of the base rental amount must be received within five (5) days of the booking to confirm a reservation. Your Vacation Rental Agreement will be cancelled without advance notice if we have not heard from you. Vacation Rental Agreements can be viewed from our website, mailed, emailed or faxed to you. To view your lease from our website, simply go to GUEST SERVICES from our home page, to “Guest Information Login,” then enter the reservation number and the Leaseholder’s zip code. The agreement will detail cost, due dates and policies. The entire balance of your vacation rental agreement amount is due in our office 30 days prior to your check-in date. Personal checks are acceptable for advance rental amounts and balance payments provided the check is received 30 days prior to the vacation rental agreement date. Otherwise, the payment must be in the form of certified or cashier's check, money order, MasterCard, Visa or Discover. A $25 service charge on all returned checks will be added to your balance. All advance rent amounts and rents will be deposited in an interest bearing trust account at RBC Bank, 1203 Duck Road, Duck, NC with the interest accrued to Carolina Designs Realty, Inc.

TRIP INTERRUPTION INSURANCE

Trip Interruption Insurance is available as an option on each reservation. The fee for the insurance is 7.0% of the total amount. Trip Interruption Insurance must be paid at least 30 days prior to arrival or at the time you make your reservation, whichever is earliest. Carolina Designs Realty, Inc. receives a portion of this fee for processing the insurance purchase. The policy covers standard trip interruption due to medical emergencies and mandatory evacuation days due to weather. Carolina Designs Realty, Inc. and the owners they represent do not refund in the event of evacuation for severe weather. Renters must have Trip Interruption Insurance for reimbursement due to mandatory evacuations.

ADMINISTRATION FEE AND TAXES

All rental rates are subject to a $75 administration fee and state and local taxes. Taxes are subject to change.

ARRIVAL AND DEPARTURE

CHECK-IN time at our office is between 4 p.m. and 5:30 p.m. on Saturdays and Sundays. Early check-ins are not available. If you are unable to check-in during this time period, please call us in advance to make arrangements. We cannot provide for late checkin if your balance has not been paid in full.

CHECK-OUT time is 10 a.m. Please observe this rule, as our housekeeping staff needs time to prepare for our next guests. Upon leaving, secure all windows and doors, wash dishes, remove all trash, place trash cans at street curb and leave the property by 10:00 a.m. on your scheduled day of departure. A key drop is available for check-out prior to 9:00 a.m.

WEDDINGS AND SPECIAL EVENTS

Weddings and/or special events are strictly prohibited without a separate agreement. Only select homes participate in the Wedding and Special Event Program. There will be an addendum to the lease pertaining to weddings that requires your signature and must be returned with the signed lease agreement. Specifically note that:

  • Carolina Designs Realty allows a maximum number of 50 guests during the wedding and/or special event;
  • There is an additional event fee incurred by the renter in the amount of $1,500. The fee will defray the cost involved in the logistics of these events and ensure minimal “wear and tear” on the property;
  • Wedding events require a security deposit in the amount of $2,000 in the form of a bank check thirty days prior to the arrival date;
  • Alternative parking arrangements for your guests will need to be made in advance (on-street parking is not allowed).

CANCELLATIONS

In the event of a cancellation of a confirmed rental for any reason, Carolina Designs Realty, Inc. must be notified in writing and will make every reasonable effort to re-rent the property. If the property is re-rented for the original vacation rental agreement
amount, tenant will receive a refund of the advance rental payment less a $75 cancellation fee. If re-rented for less than the original rate, tenant will receive the balance of the advance rental payment less the $75 cancellation fee plus an amount necessary to make full payment to the owner. All refunds will be made within 60 days of receipt of the rerented advance rental payment. If the property is not re-rented, no refund will be paid.

PET POLICY

In most of our homes dogs are strictly forbidden. See our brochure or check our website for a current list of homes that allow dogs. If you bring a dog, an extermination fee of $95 plus tax will be collected and additional deposits may be required. Carolina Designs Realty, Inc. receives a portion of the extermination fee. Dog owners are financially responsible for damages and extra cleaning. Limit 2 dogs per property.

FURNISHINGS AND EQUIPMENT

Homes are furnished for normal housekeeping with dishes, cookware, flatware, glasses, grills and basic appliances. Grilling on the decks is strictly prohibited. Please grill on the concrete or in designated areas.

AMENITIES INCLUDED WITH RENTAL

All of our properties are provided with our standard bed linens and a start-up supply of bath soap, toilet tissue, paper towels,  dishwasher powder, dishwashing detergent, new kitchen towels, laundry detergent and freshly roasted coffee for your enjoyment. In addition, two sets of towels (a bath towel, a hand towel, and a wash cloth per set) per bedroom will be provided for your stay in 2010. If more sets of towels are needed, you may rent additional towel sets for $7 per set ($11 per set for multiple weekly rentals), which includes a bath towel, hand towel and wash cloth. You can call us anytime for towel rental. Please bring your own beach towels. Portacribs, surfboards, beach chairs, beach umbrellas and beach towels may be rented locally.

CONDITION OF PROPERTY

Every effort has been made to ensure that our descriptions and distances to ocean accesses are accurate; however, we cannot be held responsible for changes made by owners in furnishings or equipment, inaccurate descriptions, distance to ocean errors, or printing errors. Please note, we will be unable to move you to another house when you arrive.

OCCUPANTS

Occupants represent themselves to be an adult 25 years of age or older. In addition, all occupants (“Permitted Occupants”) of the house must be either (1) the tenants named on the lease (2) 25 years of age or older (3) direct descendants of the occupants (such as children, grandchildren or great-grandchildren), (4) direct ancestors of the occupants (such as parents or grandparents) (5) siblings of the occupants, and/or (6) a maximum of one (1) additional person for each occupant, direct descendant, direct ancestor or sibling of the occupants. If occupants do not comply with this paragraph Tenant(s) and occupants will be refused entry onto the premises and Tenant(s) or occupants will not be entitled to a refund of any rent payments made. No exceptions.

OCCUPANCY

The permitted number of occupants as defined by the local county health departments is listed in the directory. Carolina Designs Realty will not allow overcrowding of the house beyond the existing bedding. No RVs, campers or mobile homes may be parked on the premises for the purposes of extra sleeping capacity. SOME AREAS PROHIBIT RV AND TRAILER PARKING.

CONSTRUCTION

Carolina Designs Realty, Inc. cannot predict construction in the area and therefore can not be responsible for any construction that may be occurring near one of our vacation rental homes. No compensation or moves to other properties will be considered.

MAINTENANCE

All equipment in the vacation rental homes should be in working order. Please report any inoperative equipment to our office. Every reasonable effort will be made to promptly repair the same. No refunds will be made for inoperative air conditioners, appliances or for mechanical failure.

LOCKED CLOSETS

Locked closets contain owner’s personal property. Please respect these locked closets, cabinets or rooms. They are not included as part of your rental.

LOST AND FOUND

Carolina Designs Realty, Inc. cannot be held responsible for items left in homes or condominiums. Please double check your cottage for personal items prior to departure. If we are asked to return items to you, they will be returned C.O.D.

DAMAGE WAIVER

A Damage Waiver is included with your rental agreement. This Damage Waiver is intended to protect you from accidental damage to the leased premises or contents during your stay. A description of coverage for the Damage Waiver is included in your lease for
review. Please read it carefully. If a copy of the Damage Waiver is not included, contact us for a copy or view it online. Note that the terms of Damage Waiver define the coverage. Any conflict in the nature or extent of the coverage between the terms of Damage Waiver and this Agreement will be governed by the Damage Waiver terms. In order to administer the claims, we must be notified prior to checkout of any damage or theft. You will be charged for any damages not covered by Damage Waiver. Carolina Designs Realty, Inc. has a thorough inspection policy to ensure our rental units are in good condition and that tenants will not be inadvertently billed for missing or broken items. Please assist us by reporting any missing or broken items to our office within 24 hours so that you will not be held responsible.

ADVANCE RESERVATIONS

Current guests have first priority to reserve the same vacation rental home for next year during the same rental week. Simply return the advance reservation form along with your advance reservation fee by noon on the Monday following your visit (after that time advance reservations are taken on a “first come, first served” basis). The advance reservation fee allows you to hold a home in your name for the following year and is not applied to next year’s agreement. Rental rates and availability are not guaranteed and cannot be confirmed until the agreements for the following year are sent out.

PARTIAL WEEK RENTALS

Partial week rentals (3 night minimum) are only available in the off-season when a full week is not booked. The partial week rate is based on a five-night proration of the original base rate. Partial week reservations are not accepted until the Monday prior to the desired partial rental, as full week requests have priority.

FIREPLACES

Fireplaces are available during the winter rental season only and may not be used while the air conditioner is running.

POOLS AND HOT TUBS

Private heated pools will open on March 27, 2010 and close on October 24, 2010. Private unheated pools will open on April 24, 2010 and close on October 10, 2010. Pools and hot tubs are cleaned between guests. As neither the homeowner nor Carolina Designs Realty, Inc. employees are on the premises during the use of these amenities, the rental party agrees to be solely responsible for the use and operation thereof. If your rental home advertises a heated pool, please be aware that a fuel fee is collected for use of the pool heater. The Pool Heat Fee for 2010 is $400 per week plus tax unless otherwise noted. A professional pool company maintains all pool equipment on a twice-weekly basis. Unauthorized usage of pool heat is strictly prohibited. BUSINESS SERVICES

Business services such as fax and copy machines are available at our office for a fee. Our fax number is (252) 261-2295.
